Position: Administrative Specialist
Agency: South Dakota Public Utilities Commission; Pierre, South Dakota
Salary: $19 or more per hour, depending upon experience

Position Purpose:

  • Position provides administrative support to the South Dakota Public Utilities Commission. This is a full-time, 40 hours-per-week position in Pierre, South Dakota. The administrative specialist will work in a front office environment, work closely two other administrative staff members and report to the deputy executive director. Specific duties include:
  • Making travel and meeting arrangements to include researching, reserving and confirming lodging and transportation; completing conference registration and payment arrangements; coordinating logistics between traveler and meeting host; communicating details clearly and professionally; preparing reimbursement documents for traveler and following through to ensure payment is processed.
  • Providing administrative support before and during commission meetings and hearings to include scheduling meeting room, phone bridge, webcast and court reporter; communicating with phone participants regarding meeting details; preparing support material for PUC participants; setting up meeting room; operating meeting room equipment for audio, webcast, presentation, telephone and videoconferencing and seeking assistance with technical difficulties; monitoring phone lines; handling in-room requirements including but not limited to posting signage, AV support, exhibits, sign-in sheets and confidential discussions; attending meetings scheduled in Pierre to provide on-site support.
  • Daily updating of docket management database to include entering information about electronic filings and preparing periodic reports.
  • Confirming annual report data provided by telecommunications companies.
  • Scheduling in-house meetings and preparing meeting room and equipment.
  • Maintaining and updating PUC information on the state Boards and Commissions website.
  • Handling office supply inventory and orders.
  • Providing back-up coverage to other administrative support staff when needed by answering multi-line phone, screening and transferring calls to the appropriate person; open, sort and distribute incoming and prepare outgoing mail; receiving and directing visitors; logging receipts and payment vouchers; responding to docket filings via email; distributing electronic agendas, orders and minutes; transcribe meeting minutes.
  • Performing other duties as assigned by supervisor.

The ideal candidate will have:
Associate’s degree in business or administrative services and one year of office support experience. Equivalent work experience considered in lieu of a degree.

Knowledge of:

  • general office procedures;
  • business English including grammar, spelling and punctuation;
  • modern office equipment, practices and procedures.


  • proficiency in Microsoft Office programs (Word, Outlook, Excel, Access) and navigating websites;
  • some experience with MS Teams, Adobe Acrobat Standard or Pro preferred;
  • superior organizational skills;
  • excellent interpersonal skills including communication, discretion, confidentiality, a positive attitude and the ability to deal tactfully with others;
  • meticulous attention to detail;
  • strong oral and written communication skills, including proofreading;
  • solid reading comprehension, listening and critical thinking skills;
  • aptitude for learning and adapting new skills.

Ability to:

  • organize work, set priorities, work within established timelines, meet critical deadlines and communicate regularly with supervisor;
  • understand and follow verbal and written instructions;
  • communicate information clearly and concisely;
  • work well with all levels of internal management and staff, as well as outside contacts;
  • stay focused amid distractions;
  • appropriately handle confidential information;
  • serve as a notary. If successful candidate is not currently a notary, PUC will assist with the application.
