Position: Administrative Specialist
South Dakota Public Utilities Commission; Pierre, South Dakota
Salary: $20 or more per hour, depending upon experience
Closing Date: Jan. 22, 2020

Position Purpose:
Position provides administrative support to the Public Utilities Commission by answering and directing incoming calls using a multi-line phone system; receiving and directing visitors; processing incoming mail; preparing outgoing mail, including bulk mailings; managing and sending messages to multiple listservs; distributing meeting agendas; drafting and distributing meeting minutes; drafting order templates and distributing to parties; posting agendas, minutes and orders online; assisting with the submission of filings to other government agencies, and handling other duties as assigned; monitoring IT issues related to the PUC’s websites and tracking communication for troubleshooting or resolution.

Position will also perform backup duties when necessary to include, but not limited to, updating and maintaining docket files on website and electronic docket management system, preparing payroll, and scheduling meetings. The selected candidate will work closely with other administrative team members and report to the deputy executive director.

The ideal candidate will have:
Associate’s degree in business or administrative services and one year of office support experience. Equivalent work experience considered in lieu of a degree.

Knowledge of:
  • general office procedures;
  • business English including grammar, spelling and punctuation;
  • computer operation and website functionality.
  • proficiency in Microsoft Office programs (Word, Outlook, Excel, Access) and navigating websites;
  • some experience with Adobe Acrobat Pro and Adobe Dreamweaver preferred;
  • superior organizational skills;
  • excellent interpersonal skills;
  • meticulous attention to detail;
  • strong oral and written communication skills, including proofreading;
  • solid reading comprehension, listening and critical thinking skills;
  • aptitude for learning and adapting new skills.
Ability to:
  • organize work, set priorities, meet critical deadlines and follow up with minimal direction;
  • stay focused amid distractions;
  • understand and follow verbal and written instructions;
  • communicate information clearly and concisely;
  • work well with all levels of internal management and staff, as well as outside contacts;
  • appropriately handle confidential information;
  • serve as a notary;
  • use and maintain office equipment such as photocopier, scanner and printers.
