Position: Administrative Specialist
South Dakota Public Utilities Commission; Pierre, S.D.
Salary: $17.70 or more, depending on experience
Closing Date: Nov. 15, 2018

Position Purpose:
Position provides administrative support to the Public Utilities Commission, commissioners and staff.

Specific duties include:
  • Making travel and meeting arrangements to include researching and reserving lodging and transportation; completing conference registration and payment arrangements; coordinating logistics between traveler and meeting host; communicating details clearly and professionally; preparing reimbursement documents and following through.
  • Providing administrative support before and during commission meetings and hearings to include scheduling meeting room, phone bridge and court reporter; preparing support material for PUC participants; setting up meeting room; operating meeting room equipment for audio, webcast, presentation, telephone and Skype; attending meetings scheduled in Pierre to provide on-site support.
  • Scheduling in-house meetings and preparing meeting room and equipment.
  • General front office tasks to include answering and directing incoming calls using a multi-line phone system; receiving and directing visitors; handling office supply inventory and orders; establishing and maintaining a variety of files and completing other duties as assigned.

Position will also perform backup duties when necessary to include, but not limited to, processing incoming mail, preparing outgoing mail, drafting meeting minutes, distributing materials via electronic listservs, processing vouchers and receipts.

The selected candidate will work closely with other administrative team members and reports to the deputy executive director.

The ideal candidate will have:
  • An office assistant or similar associate’s degree and at least one year of administrative support experience; or relevant combination of school and work experience.
  • Similar experience in one or more areas as described in “specific duties” listed above.
Knowledge of:
  • general office procedures;
  • standard office software (Microsoft Word, Outlook, Excel) and using various browsers to navigate websites.
Skills to:
  • efficiently keep track of multiple details and deadlines;
  • communicate in writing using proper business English, grammar, spelling and punctuation;
  • operate meeting equipment such as audio, video and web conferencing systems, PowerPoint and Skype;
  • use and maintain general office equipment such as photocopier, scanner and printers.
Ability to:
  • organize work, set priorities, meet critical deadlines and follow up with minimal direction;
  • stay focused amid distractions;
  • understand and follow verbal and written instructions;
  • communicate information clearly and concisely;
  • work well with all levels of internal management and staff, as well as outside contacts;
  • show a high level of discretion and confidentiality -- exhibit highest level of personal integrity;
  • demonstrate initiative, flexibility, teamwork, maturity under pressure, and to anticipate and resolve problems before they escalate;
  • lift at least 40 pounds to load and unload materials and equipment for meetings and events.
