Position: Administrative Assistant
Agency: South Dakota Public Utilities Commission
Salary: $17 or more per hour, depending upon experience
Closing Date: Oct. 19, 2018

Position Purpose:
Position provides administrative support to the Public Utilities Commission by making travel and meeting arrangements; providing support before and during commission meetings and hearings; answering and directing incoming calls; receiving and directing visitors; scanning documents; handling office supply inventory and orders; establishing and maintaining a variety of files and completing other duties as assigned. Position will also perform backup duties when necessary to include, but not limited to, processing incoming mail, preparing outgoing mail, drafting meeting minutes, distributing materials via electronic listservs, processing vouchers and receipts. The selected candidate works closely with other administrative team members and reports to the deputy executive director.

The ideal candidate will have:
Associate's degree in business or administrative services and one year of office support or secretarial experience.

Knowledge of:
  • general office procedures;
  • business English including grammar, spelling and punctuation;
  • proficiency in standard office software (Microsoft Word, Outlook, Excel) and navigating websites.
Skills:
  • strong organizational skills;
  • excellent interpersonal skills;
  • strong oral and written communication skills, including proofreading.
Ability to:
  • organize work, set priorities, meet critical deadlines and follow up with minimal direction;
  • stay focused amid distractions;
  • understand and follow verbal and written instructions;
  • communicate information clearly and concisely;
  • work well with all levels of internal management and staff, as well as outside contacts;
  • appropriately handle confidential information;
  • learn how to operate presentation equipment such as sound system, audio, video and web conferencing systems, and PowerPoint;
  • use and maintain office equipment such as photocopier, scanner and printers;
  • lift at least 40 pounds to load and unload materials and equipment for meetings and events.

  • This position is located in Pierre, S.D., and will work in a front office environment.
